What does that entail:
I handle DOT's compliance division. We specialize in helping you comply with DOT's drug and alcohol testing laws and regulations so that you won't be subject to severe penalties or repercussions during an audit, as well as non DOT Employers.

Managing the random testing program to ensure adherence to FMCSA standards.
You serve as a drug and alcohol safety expert, responsibilities include:
Developing, executing, and upholding a drug and alcohol policy that is in compliance.
Managing the process of selecting drivers from a random pool according to the DOT random rates.
keeping confidential and secure records of alcohol and drug test results.
Ensure compliance with 49 CFR Part 382, which includes supervisor training.
Handling compliance documentation for drivers who violated policies and are returning to work.
Ensure that negative test results are received before drivers resume work and monitor testing following accidents.

All full-time, part-time, intermittent, backup, and international drivers
All employees of such persons who operate a commercial motor vehicle in commerce in any state
FMCSA (Trucking): Drivers of Commercial Motor Vehicles (CMVs) requiring a CDL, operating vehicles >26,000 lbs, transporting hazardous materials, or carrying 16+ passengers.
All drivers operating vehicles designed to transport 16 or more passengers (including the driver)
All drivers operating vehicles transporting hazardous materials requiring placards
FAA (Aviation): Flight crews, flight attendants, instructors, air traffic controllers, and aircraft dispatchers/maintenance personnel.
FRA (Railroad): Hours-of-service employees (engineers, conductors, trainmen) and maintenance of way personnel.
FTA (Transit): Operators of revenue service vehicles, controllers, mechanics, and armed security personnel.

DOT Section forms

When a company’s consortium renewal and clearinghouse renewal is coming up, you will reach out to the client and let them know about their renewal coming up (the script is available there for you to use) and fill out the form to log in the status. Clients may email you back their response. This helps organize who paid for renewal.

Use this form at the beginning of the year to plan out how your random selections will be pulled for the year.

Use this form if a client requests to add, remove, pause, resume or inform you if a driver can’t make their selection date.
How to complete an order

Step 1: Pitch the service
Step 2: Fill out consortium form (Consortium enrollment form)
Step 3: Take Payment and read refund policy (white section only) before you submit the payment
Step 4: Let the client know you will be sending them a consortium welcome letter, and that the consortium certificates will be emailed within 24 hours.
Step 5: (stay on the phone) Send client the welcome consortium email and asked if they received it.
Step 6: Go over client end script (Click Here)
Step 7: Either work on the certificates now or submit a task form to get back to later. (have completed within 48 hours)
Step 8: create certificate: Open compliance folder, open consortium certificate and edit the name, company name, and enrollment date on certificate, then save as PDF and send to client as PDF.
Step 9: Don’t forget to Update your spreadsheets with new information.

Step 3: Take Paymentand read refund policy (white section only) before you submit the payment
Step 4: Let the client know you will be sending them a Clearinghouse Management welcome letter, which will include instructions on how to request you as their C/TPA in the clearinghouse.
Step 5: (stay on phone) Send client the welcome email (Clearinghouse enrollment email)
Step 6: Let the client know that when you hang up the request to add us as their TPA needs to be completed…then Go over client end script (Click Here)
Step 7: Work on accepting client TPA request or submit a task form to get back to later or send a follow up message. (have completed within 48 hours)
Step 9: Send Steps to purchase Query (Clearinghouse) in additional signature in compliance portal
Step 10: Don’t forget to Update your spreadsheets with new information.

With the information in the questionnaire that you submit, we will be sending over a rough draft for you to review, and the last step would be the final policy template, This template will be used for any employees you decide to hire so that they are aware to comply with DOT’s drug and alcohol program while working under you. Keep a lookout for our email within 48 business hours.

How to complete a Consortium enrollment
(One certificate per each driver)
Step 1: Open your compliance folder and search for “DOT consortium certificate”
Step 2: Edit all highlighted sections in yellow. (Company Name, Name of driver, Enrollment date, Renewal date)
Step 3: Send certificate (as PDF) to the client, if multiple drivers, send all at once.
Step 4: Add driver(s) into the consortium spreadsheet
How to complete a DOT Policy
Step 1: Open your compliance folder and search for “Dot policy Template”
Step 2: Edit and fill in the following in the highlighted yellow sections of the “Dot policy Template”
Step 3: When completed, Send the rough draft copy to client along with the rough draft email template, make sure you send the watermark copy that says “do not copy”
Step 4: When the client responds back to the email that the rough draft looks good, send the Final copy without the watermark along with the final copy email template. Otherwise, if the client notices any mistakes or changes needed, you will proceed to make corrections.
